This Privacy Policy explains what information Civvie The Compass LLC ("Civvie", "we", "us") collects when you use the Civvie mobile application and website (together, the "Service"), how we use it, who we share it with, and the choices you have. Civvie is an independent transition-planning tool for service members and veterans. It is not affiliated with the U.S. Department of Veterans Affairs, the Department of Defense, or any government agency.
Information You Give Us
Account details. When you create an account we collect your name, email address, and password. You may also add a profile photo.
Service profile. To tailor your transition roadmap we ask for your branch of service, whether you are retiring, your expected service end date (ETS), and the types of dependents in your household.
Documents you upload. The document vault lets you store PDF files, up to 50 MB each, such as a DD-214, medical records, and VA claim paperwork. These files often contain sensitive personal, medical, and military-service information. We store them only so that you can view, organize, and share them, and we never read them for any other purpose.
Content you create. Checklist progress, tasks, notes, calculator inputs, and résumé content you build inside the app.
Questions you ask CivvieAI. The text of questions you type into the CivvieAI assistant, so we can generate an answer and count usage against your plan.
Support and waitlist messages. Anything you send us by email, and the email address you enter on our website waitlist.
Information Collected Automatically
Device and app information. Device model, operating system version, app version, language, and a random installation identifier generated on your device. We use the installation identifier to prevent free-trial abuse across accounts on the same device.
Usage counts. How many times you use metered features (for example CivvieAI questions or calculators) so we can apply your plan's limits.
Consent records. When you accept our Terms or acknowledge a notice, we record the document version, the time, your IP address, and your device's user-agent string as proof of acceptance.
Purchase records. Store transaction identifiers, the product purchased, its status and renewal dates, as reported to us by Apple or Google. We never receive your card number or billing address.
We do not use advertising SDKs, third-party analytics, or cross-app tracking, and we do not track you across other companies' apps or websites.
How We Use Information
- To provide, personalize, and maintain the Service, including your roadmap, checklists, calculators, document vault, and subscription access.
- To answer CivvieAI questions using our knowledge base of public VA regulations and manuals.
- To send transactional messages such as verification codes, gift and voucher notifications, and receipts. We do not send marketing email unless you opt in.
- To enforce plan limits, prevent fraud and abuse, and keep the Service secure.
- To respond to your requests and provide customer support.
- To comply with legal obligations and resolve disputes.
How We Share Information
We do not sell your personal information, and we do not share it with third parties for their own marketing. We share information only in these cases:
Service providers. Companies that host and operate the Service on our behalf and may only use your data to do so: Supabase (database, authentication, and encrypted file storage), OpenAI (processes the text of your CivvieAI questions to generate answers; your uploaded documents are never sent to it, and under OpenAI's API terms your questions are not used to train its models), Apple and Google (payments), and an email delivery provider for transactional messages.
Recipients you choose. If you use the VSO feature to contact a Veterans Service Organization, we email all of the documents currently in your vault, together with your name and your account email address (so the organization can reply to you), to the VSO address you chose. That organization handles your information under its own policies.
Legal and safety. If required by law, legal process, or to protect the rights, property, or safety of Civvie, our users, or the public.
Business transfers. If Civvie is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this policy.
How We Protect Information
Data is encrypted in transit and at rest. Your documents are stored in private storage and are only accessible through short-lived, signed links generated for your signed-in session. Database access is restricted so that each account can only read its own data. No method of storage is completely secure, so we cannot guarantee absolute security.
Retention and Deleting Your Account
We keep your information for as long as your account exists. You can delete your account at any time from Profile → Delete Account in the app, or by emailing us from your account email address.
When you delete your account you are signed out immediately and lose access at once. Your data is then held for 30 days and permanently erased after that. The delay exists so that an accidental deletion, or one made by someone who gained access to your device, can be undone. We email the address on the account as soon as deletion starts, telling you the exact date of erasure and giving you a single-use link to restore the account. The link works once and only inside those 30 days; you can also contact us instead. After 30 days the erasure is final and we cannot recover anything. Permanent erasure covers your profile, service profile, uploaded documents, checklist and task data, CivvieAI usage history, and consent records.
During those 30 days your email address stays reserved to your deleted account and cannot be used to register a new one. This stops someone else claiming the address and inheriting your history. If you want to rejoin sooner, contact us.
We retain a minimal record of store transactions (transaction identifiers, product, and dates, with no name or contact details) after deletion, as required for accounting, refund disputes, and fraud prevention. Deleting your account does not cancel an App Store or Google Play subscription; you must cancel it in your store account settings, and the app reminds you of this before deletion.
Your Choices and Rights
- You can review and edit your profile and service details in the app at any time.
- You can delete individual documents, or your entire account, at any time.
- You can request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by contacting us at the address below. We will verify the request using your account email.
- California residents have the right to know what personal information we collect and how it is used, to request deletion, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined under California law.
- If you are outside the United States, be aware that the Service is operated from the United States and your information is processed there.
Children
The Service is intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
Changes to This Policy
We may update this policy from time to time. We will post the new version in the app and on our website with an updated date, and, for material changes, notify you in the app. Continued use of the Service after a change means you accept the updated policy.
